Terms & Conditions

Event Details & Venue

• Date & Time: Sunday, 4th October 2026. Doors open for visitors at 10:00 AM. Event concludes at 4:00 PM.
• Venue: Depot 18, Jayamahal Main Road, Opp. Jayamahal Palace, Bengaluru - 560006.

Table Registration & Seller Guidelines

• Requirement: Anyone intending to sell or trade items must book a table, regardless of the number of models brought to the venue.
• Sponsors: Who qualifies as a Sponsor? A sponsor is any individual or business entity that conducts regular commercial sales, either through their own website or third party channels. Anyone taking pre-orders via social media or websites also automatically qualifies as a Sponsor.
• Items Allowed: Any scale model (any scale or make) and related scale-modelling items.
• Seller Representation: Sellers warrant and represent to the Beantown Model Collectors' Association (BMCA) that they possess all requisite permissions, approvals, and consents to sell the items on display.
• Setup Time: All sellers must be at the venue by 8:30 AM.
• Strict Policy: Participants arriving after 10:00 AM will be denied entry, and their table fee will be forfeited.
• Perks: BMCA will host breakfast at the venue for all registered table-holding participants and their helpers. Breakfast will be served strictly between 8:30 AM and 9:30 AM.

Table Fees & Deadlines

Important dates and deadlines:

Early Bird Pricing:

• Single Table: ₹1,750/-
• Shared Table (Max 2 participants): ₹2,000/- (₹1,000/- per head)

Late Registration Pricing: Payments received after the deadlines mentioned in the table above will stand revised to:

• Single Table: ₹3,500/-
• Shared Table: ₹4,000/-
• Sponsor Fee: ₹15,000/- onwards

Registration Process: Connect with BMCA via Facebook or Instagram with your full name and contact number.

Helpers & Shared Tables

• Single Tables: Entitled to one (1) registered helper to assist with sales. The helper must register and enter the venue alongside the seller by 8:30 AM. Helpers attempting to enter after 10:00 AM must pay the standard general entry fee.
• Shared Tables: Participants sharing a table are not permitted to bring additional helpers.

General Admission (Visitors)

• Entry Fee: Non-BMCA members and visitors who are not setting up tables may enter the event by paying a non-refundable entry fee of ₹300/-.
• Early Bird Registrations: All visitors who register between 13th and 20th September are entitled to a discounted entry fee of ₹250/-.
• Refund Policy: All Table Fees and Entry Fees (including early bird registration entry fees) are strictly non-refundable under any circumstances.

Commercial Promotions & Marketing for Sponsors only

• Applicability: Any promotion of external businesses (e.g., scale model shops, website links, display case manufacturing, diorama businesses, courier services) via posters, flyers, digital materials, or branding requires prior written intimation and approval.
• Sponsor / Promotion Fee: Starts at ₹7,500/- and must be remitted on or before 23rd August 2026.
• Exclusivity: This promotional offer is non-exclusive and available to all interested participants.
• Penalty: Any attendee found promoting a business without paying the Sponsor / Promo Fee will be immediately expelled from the venue. No prior fees paid will be refunded.

Camera & Photography Policy

• Non-Phone Cameras: Bringing a DSLR, mirrorless, or any professional non-phone camera into the venue requires a dedicated Photography Fee of ₹1,500/-.
• Event Photography: BMCA's in-house photographers will document the event. Attendees may request access to official photographs for their social media channels by speaking to the photography team.

Raffles & Auctions

• Eligibility: Raffles and auctions are restricted exclusively to physical attendees at the event. No online raffles / auctions will be permitted.
• Timing: Any raffle or auction must commence no earlier than 10:00 AM and must conclude by 4:00 PM.

Code of Conduct & Dispute Resolution

• Civil Conduct: All transactions, trades, and interactions must be carried out in a civil, polite, and responsible manner. Unfair trade practices, offensive language, or disruptive behaviour will result in immediate expulsion from the premises.
• Dispute Resolution: In the event of a dispute between attendees, the decision of the BMCA's Managing Committee shall be final, absolute, and binding on all parties (including both members and non-members).

Prohibited Items & Venue Restrictions

• Bags: Personal bags and backpacks are strictly prohibited inside the premises. Sellers are permitted to bring empty bags/totes to provide to buyers for their purchases.
• Outside Food & Beverage: Outside food and drinks (both alcoholic and non-alcoholic) are strictly prohibited. Drinking water will be provided inside the venue.
• Vehicles & Parking: BMCA does not provide or manage parking facilities. Parking is entirely at the vehicle owner's risk. BMCA assumes no liability for vehicle damage, theft, or loss.

Disclaimers & Limitation of Liability

• Transaction Liability: BMCA acts solely as an event facilitator. Every participant is independently liable for their own sales, purchases, credits, and trades. BMCA does not evaluate, recommend, or guarantee the quality, authenticity, value, or quantity of any items offered. The onus of inspecting collectibles/items rests entirely on the buyer. BMCA will not mediate, negotiate, or intervene in transaction disputes.
• Loss or Damage: Every participant is solely responsible for their personal belongings and scale models. BMCA accepts no liability for the theft, loss, or damage of any items before, during, or after the event.
• Force Majeure: BMCA shall not be held liable or responsible for event cancellations, delays, or interruptions resulting from acts of God, extreme weather, fires, floods, strikes, labour stoppages, protests, riots, civil commotion, terrorism, epidemics, pandemics (including but not limited to COVID-19 variations), quarantine restrictions, travel bans, or regulations/orders issued by government authorities.

BMCA reserves the right to amend these terms and conditions at any time without prior notice.
